Privacy Policy

Version: 24 September 2026

Scope. This policy explains how we handle the personal data of visitors and customers of GuitarService.gr, with particular reference to the Online Estimate service. It applies to the services and functions actually provided through our website and workshop.

1. Who is responsible for your personal data

Greek Tax Identification Number (AFM): 138573345; Tax Office: Agrinio; General Commercial Registry (GEMI) No.: 185879912000. Telephone: +30 26410 48267. 2. What information we collect

  • Contact details: your full name, email address, telephone number and any additional information you enter in a form or provide when communicating with us.
  • Online Estimate data: your answers to form fields, five guided photographs, description of the problem, details of the musical instrument, any additional photographs or clarifications we may request, the request reference number and our technical response.
  • Transaction information: amount, date, payment status, transaction identifiers and information needed to issue a legally required receipt or manage a refund.
  • Workshop repair records: instrument identification, history of work performed, measurements, replacement parts, consumables and dates of work, if we take on your instrument.
  • Technical visit information: IP address, timestamps, browser information and operational logs, to the extent that these are kept by the website and its hosting provider for service operation and security.

Please do not enter sensitive personal information in free-text fields or include documents or people in photographs unless they are necessary for the estimate.

3. Why we use your data and the legal bases for doing so

  • Responding to requests and performing our contract: receiving and assessing your Online Estimate request, contacting you for clarification, sending the result, scheduling and carrying out any repair. Legal basis: performance of a contract or taking pre-contractual steps at your request (Article 6(1)(b) GDPR).
  • Payments, tax and accounting: handling transactions, issuing receipts and keeping legally required records. Legal bases: performance of a contract and compliance with legal obligations (Article 6(1)(b) and (c) GDPR).
  • Security and handling disputes: protecting the website, preventing misuse, documenting transactions and establishing, exercising or defending legal claims where necessary. Legal basis: our legitimate interests (Article 6(1)(f) GDPR), weighed against your rights.
  • Non-essential cookies and promotional communications: only if these are used and the required consent or another applicable legal basis is in place.

4. Online Estimate and communication

We use the information and photographs you provide to assess the problem you describe, inform you of possible solutions or an indicative cost, and contact you if we need further information. If we agree to do so, follow-up communication may also take place by video call. Sending us photographs for an estimate does not grant permission to publish them on websites, in advertisements or on social media. Any such different use is considered separately and, where required, is subject to specific permission.

5. Payments via Stripe

Online payments are processed through Stripe. During payment, Stripe processes the payment and transaction data necessary for the transaction in accordance with its role and its own Privacy Policy. Our workshop receives the information it needs to confirm payment, complete the service, issue a receipt or manage a refund. You do not need to send us full card details by email or through the form.

6. Who may receive your data

Access is limited to persons who need your data to carry out their work. To the extent necessary, data may be processed by website hosting and technical support providers, electronic communication service providers, payment service providers (Stripe), accounting or tax support providers, and shipping providers if you choose to send us your instrument. Depending on the circumstances, these providers act as processors or independent controllers. We do not disclose your personal data to third parties for their own advertising purposes merely because you submit an Online Estimate request.

7. Transfers outside the European Economic Area

Depending on the services and settings used, some technical service providers may also process data outside the European Economic Area. Where this occurs, the requirements of the GDPR apply, such as an adequacy decision or appropriate contractual safeguards. You may contact us for information about the specific transfers relevant to your request.

8. How long we keep your information

  • Online Estimate photographs: deleted from the website’s server as soon as they have been delivered to the workshop by email. That email, photographs included, is kept for one calendar month from the date we send our final response and for a further 30 days, so that we can refer to them if you contact us about a repair, and is then deleted, unless there is a lawful reason for further retention.
  • Estimate request details: your name, contact details, instrument, description of the issue, reference number and request status are kept as a service history, which you can also see in your account if you have one, until you ask us to delete them.
  • Payment information and receipts: these are retained for as long as tax and accounting legislation requires, even if the rest of the estimate information has been deleted.
  • Instrument history in the workshop: if we undertake a repair, we create a separate file to keep track of work performed and support future service. Its information is retained only for as long as there is a documented purpose and lawful basis; we periodically reassess the need for retention, and requests for deletion are considered individually.
  • Technical logs and backups: these are kept according to the system’s necessary security cycles and are not used for a new purpose. Final removal from backup copies may follow the applicable replacement cycle, with access restricted in the meantime.

If there is an outstanding transaction, a legal obligation or a specific legal claim, a different retention period may be required for strictly necessary information.

9. Security of your information

We apply appropriate organisational and technical measures to protect information, such as limiting access to authorised persons, controlling access to systems and managing files according to the needs of the service. No electronic system can guarantee absolute security.

10. Your rights

Depending on the circumstances, you have the rights to information and access, rectification, erasure, restriction of processing, objection and data portability. Where processing is based on consent, you may withdraw that consent without affecting the lawfulness of processing carried out before its withdrawal. These rights are not absolute: for example, the right to erasure does not extend to information we must retain to comply with a legal obligation.

Send your request to info@guitarservice.gr. We may request only the information necessary to verify your identity. We respond within one month, subject to any lawful extension in complex cases, of which we will inform you.

You may also lodge a complaint with the Hellenic Data Protection Authority: www.dpa.gr.

11. Cookies and similar technologies

The website uses only technically necessary cookies and similar technologies, for signing in to your account, for security and to remember choices you make, such as closing a message. It does not use analytics or advertising cookies. For categories, lifetimes and your choices, please read our separate Cookie Policy.

12. Changes to this policy

We may update this policy when our services, systems or relevant obligations change. The updated version will be posted on the website with a new date. If additional notice or consent is required for a new purpose, it will be provided or requested before the relevant processing takes place.
